Beach Driving Ban!

Use of the jeeps on sandy beaches is strictly prohibited. If a vehicle becomes stuck in the sand and cannot be recovered before high tide, the renter will incur the full cost of the vehicle. Saltwater damage is irreversible and insurance will not cover such negligence. This policy ensures accountability and responsible driving practices.

Car, Bike, and Camping Equipment Rental Policy

PT Bali Craft Market Indo, operating its car and accommodation rental division and hereinafter referred to as the "Rental Company," hereby enters into an agreement to provide rental services for the items specified in this agreement to the customer for the dates outlined herein.

  1. Rental Charges and Payment
    1.1 Payment Method: All payments must be executed exclusively through the provided Xendit payment gateway link.
    1.2 Payment Timeframe:
    - For reservations made over 30 days before the rental period, the Customer is required to settle the payment within 7 days of receiving the Xendit payment link.
    - Bookings made within 30 days of the intended service commencement necessitate immediate payment upon confirmation of the reservation.

    1.2 Reservation Confirmation and Voiding:
    The reservation will be considered confirmed only upon successful receipt of payment.
    Failure to adhere to this payment schedule may result in the cancellation and voiding of the reservation. The Customer is responsible for ensuring timely payments to secure the reservation.

  2. Cancellation and Deposit Policy
    2.1 Cancellation by the Customer:
    2.1.1 In the event that the Customer wishes to cancel this agreement, they must provide written notice to the Rental Company as soon as possible.
    2.1.2 If the cancellation notice is received by the Rental Company:
    a) 30 days or more prior to the rental period start date, the Customer shall be entitled to a full refund of the payment.
    b) Less than 30 days but not less than 7 days prior to the rental period start date, the Customer shall be entitled to a 50% refund of the payment.
    c) Less than 7 days prior to the rental period start date, the Customer shall forfeit the payment in its entirety.
    2.2 Cancellation by the Rental Company:
    2.2.1 In the unlikely event that the Rental Company needs to cancel this agreement due to unforeseen circumstances or force majeure, the Rental Company shall provide written notice to the Customer as soon as possible.
    2.2.2 In such cases, the Rental Company shall refund the full amount of the deposit to the Customer within a reasonable timeframe
    2.3 Pre-Payment Hold:
    2.3.1 If the cancellation occurs within 30 days prior to the rental period start date, the Rental Company shall hold the pre-payment amount.
    2.3.2 The pre-payment amount shall be held by the Rental Company to cover any costs, losses, or damages incurred as a result of the cancellation, including but not limited to administrative expenses and potential loss of business.
    2.3.3 Flight delays are not considered grounds for refunding the money under the cancellation policy.
  3. Deposit Handling
    In addition to the rental charges, a deposit shall be collected by the Rental Company upon rental commencement. The amount of the deposit is specified in this agreement.
    The deposit will be refunded to the Customer if the rented vehicles and equipment are returned in the same condition as when taken out, including the fuel level. Any damages, missing items, or extra cleaning fees for unreasonably dirty vehicles may be deducted from the deposit.

    The deposit refund process may take anywhere from 3 to 14 days, depending on the bank that issued the Customer’s card. Refunds will only be made to the same credit card used for the initial payment. Once the refund is requested, the bank or card issuer is responsible for any delays. Customers are advised to contact their bank if processing takes longer than expected. A refund receipt will be provided as confirmation once the request has been processed.
  4. Delivery
    The Rental Company may provide delivery services for an additional charge. The details and fees are specified in this agreement or communicated to the Customer upon request.

  5. Protect+ Optional Insurance Coverage
    5.1 The Rental Company offers optional insurance coverage for the rented vehicles and equipment. The Customer may choose to purchase this insurance coverage at an additional cost.
    5.2 The optional insurance coverage provides additional protection and peace of mind to the Customer by reducing their financial responsibility in the event of accidents, damages, theft, or third-party liability.
    5.3 The specific terms, coverage details, and premium rates for the optional insurance coverage are outlined in a separate insurance policy document provided by the Rental Company.
    5.4 It is the sole discretion of the Customer to decide whether to opt for the optional insurance coverage. The Rental Company does not require the Customer to purchase the optional insurance coverage as a condition of the rental agreement.
    5.5 If the Customer chooses not to purchase the optional insurance coverage, they accept full financial responsibility for any damages, losses, or liabilities that may occur during the rental period.
    5.6 The Rental Company strongly recommends that the Customer carefully review the optional insurance coverage and make an informed decision based on their individual needs and risk tolerance.

  6. Customer's Responsibilities
    The Customer shall:

    - Use the rented vehicles and equipment in a safe and responsible manner, complying with all applicable laws and regulations.
    - Return the rented vehicles and equipment in the same condition as received, including the fuel level, subject to normal wear and tear.
    - Promptly notify the Rental Company of any accidents, damages, or malfunctions involving the rented vehicles or equipment.

  7. Rental Company's Obligations
    The Rental Company shall:

     - Provide well-maintained vehicles and equipment in good working order.
    - Conduct regular inspections to ensure the safety and functionality of the rented items.
    - Offer necessary instructions and safety guidelines for the proper use of the rented vehicles and equipment

Protect+ Insurance Policy

This Insurance Policy ("Policy") forms an integral part of the agreement between PT Bali Craft Market Indo, operating its car and accommodation rental division, hereinafter referred to as the "Rental Company," and the customer who voluntarily selects the optional Protect+ coverage for the specified rental period of vehicles and equipment.

  1. Coverage
    1.1 The Rental Company provides insurance coverage for the rented vehicles and equipment during the rental period.
    1.2 The insurance coverage includes protection against physical damage, theft, and third-party liability as detailed below.
  2. Physical Damage Coverage
    2.1 The Rental Company's insurance policy covers physical damage to the rented vehicles and rented equipment caused by accidents, collisions, or other covered perils.
    2.2 The coverage extends to repairs, replacement costs, or the actual cash value (ACV) of the damaged items.

  3. Vehicle Types and Insurance Coverage
    3.1 The following vehicle types are available for rental, along with their respective daily insurance fees and overall coverage amounts:

3.2 The daily insurance fee covers the insurance costs for the rental vehicle and is payable in addition to the rental fee.
3.3 The overall coverage amount represents the maximum coverage provided by the insurance policy for each rented vehicle. This coverage amount includes protection against physical damage that has immediate correlation with the use of the vehicle, theft, and third-party liability, subject to the terms and conditions outlined in this Policy.
3.4 The customer agrees to pay the daily insurance fee as outlined above and understands that the insurance coverage is in effect for the duration of the rental period, subject to the terms and conditions of this Policy.

4. Customer Responsibility for Expenses Beyond Coverage Amount
4.1 The customer acknowledges and agrees that they are responsible for any expenses incurred that exceed the overall coverage amount provided by the insurance policy.
4.2 In the event of any damages, losses, or liabilities that exceed the coverage amount, the customer shall be liable for the full cost of repair, replacement, or settlement, including any associated administrative and legal fees.
4.3 The customer agrees to promptly reimburse the Rental Company for any expenses incurred beyond the coverage amount, as outlined in this agreement.
4.4 The Rental Company reserves the right to charge the customer's credit card or withhold the necessary funds from the deposit to cover such expenses.
4.5 It is the customer's responsibility to exercise due care and comply with all applicable laws, regulations, and terms outlined in this agreement to minimize the risk of exceeding the coverage amount and incurring additional expenses.
4.6 It is strongly recommended to obtain a third-party insurance policy that provides coverage for international travel. Such insurance may offer additional protection, including coverage for road accidents.

5. Exclusions
5.1 This insurance coverage does not apply in the following circumstances:

  • Any damage or loss resulting from negligence, intentional misuse, or unauthorized use of the rented vehicles and equipment.
  • Any damage or loss caused by the Customer's failure to comply with the terms and conditions of this Policy or the rental agreement.
  • Any damage or loss caused by the use of the rented vehicles and equipment in violation of applicable laws and regulations.

    Additionally, please note that the insurance coverage does not extend to the costs associated with the rescue of the vehicle, should it become necessary due to any of the reasons outlined above.

5.2 The insurance coverage provided pertains exclusively to rented equipment. Please be aware that personal items and personal equipment are not included in the insurance coverage.

5.3 Beach Driving Exclusion: Driving jeeps onto sandy beaches is strictly prohibited under this insurance policy. If a vehicle becomes stuck in the sand and cannot be retrieved before high tide, the insured party will be liable for the full replacement cost of the vehicle. Damage caused by saltwater is considered neglect and is not covered by insurance. This exclusion is in place to enforce responsible vehicle use and protect against preventable losses

6. Theft Coverage
6.1 The Rental Company's insurance policy covers theft of the rented vehicles and equipment, including parts and accessories, subject to the terms and conditions outlined in this Policy.
6.2 The coverage extends to the replacement costs or the ACV of the stolen items, subject to the deductible specified in this Policy.

7. Claim Process
7.1 In the event of any damage, theft, or liability claim, the Customer must promptly notify the Rental Company and provide all relevant details, including supporting documentation and evidence.
7.2 The Customer must cooperate fully with the Rental Company and the insurance provider in the investigation and settlement of the claim.

8. Limitations
8.1 The insurance coverage provided by the Rental Company may have certain limitations and exclusions. It is the Customer's responsibility to review and understand the terms and conditions of this Policy.
8.2 The Rental Company reserves the right to deny or limit coverage if the Customer fails to comply with the terms and conditions outlined in this Policy or the rental agreement.

9. Off-Road Usage and Damages Exclusion:

9.1 The Renter acknowledges and agrees that the insurance coverage provided by the Rental Company does not extend to damages incurred by irresponsible off-road usage of the rented vehicles.
9.2 Irresponsible off-road usage includes but is not limited to driving on unpaved roads, rough terrains, trails, beaches, or any areas not designated for standard vehicular operation.
9.3 Any damages caused to the rented vehicles as a result of irresponsible off-road usage will be the sole responsibility of the Renter. Such damages are excluded from the physical damage coverage, and the Renter shall bear all costs associated with repairs, replacements, or any related expenses.
9.4 The Rental Company shall not be held liable for any accidents, injuries, or damages arising from the Renter's non-compliance with this off-road usage exclusion.

10. All damages must be reported immediately. Failure to report damages promptly will result in charges, even if the booking is insured.


Fuel Policy

At our rental service, we strive to provide all cars with a full tank of fuel, and we kindly request that you return the vehicle with the same fuel level. However, please note that in Sumba, it can be challenging sometimes to find petrol at gas stations. If the car is not returned with the same fuel level, we will deduct the required amount from the deposit accordingly.

Please be aware that all our cars and bikes are fueled by petrol. While it is possible to purchase petrol from street vendors, we advise caution as the quality may not always be reliable. It is important to exercise care when filling the vehicle, as using incorrect or poor-quality fuel can cause damage. Repair costs resulting from such incidents will be the responsibility of the client and are neither covered by the insurance policy.


Flight delays and last minute cancelations

Please note that in the event of a flight delay or last minute travel plan changes, it does not qualify as a valid reason for refunding the money under our cancellation policy. We understand that travel disruptions can occur, but our policy remains in place to ensure fairness and consistency for all customers. We recommend considering travel insurance to provide coverage and protection against unforeseen circumstances that may affect your travel plans.


If Arrival by ferry to Waingapu

In the event that the client requires car delivery to the Waingapu harbor due to their arrival via ferry, the cars will only be dispatched upon notification of the ferry's arrival by the client. This is due to potential delays caused by waves or tight scheduling of ferry arrivals. Please note that the delivery of the car may take up to 45 minutes from the time of notification.

Additionally, should it be necessary for our team to wait for the customer to pick up the car, an hourly waiting fee of 50,000 IDR will be charged.


Minimum Rental Period

For any vehicle delivery, a minimum rental period of three (3) days is necessary. This minimum rental period applies to all vehicle rentals where delivery is requested


Car Types and models

At RentSumba, we strive to provide you with the exact model you choose for your adventure, but due to the unique challenges of operating on Sumba Island, this may not always be possible. Our vehicles are regularly maintained to ensure they are as safe and reliable as possible. However, the rugged off-road conditions can occasionally lead to unexpected issues. Additionally, sourcing replacement parts on the island can be challenging and may cause delays in repairs. In such cases, we will do our best to provide you with a comparable alternative to ensure your journey continues smoothly.


Cleaning Policy

We totally get it—our off-road vehicles are meant for adventures, and we don’t expect them to come back spotless. A bit of dirt is part of the experience! However, we kindly ask that you don’t leave unnecessary rubbish behind, like food scraps or a forgotten banana under the seat. If the car comes back in a condition that requires more than a quick clean—say, food stuck in the carpets or excessive dirt—we may need to charge a little extra for cleaning. This fee could be deducted from your deposit.
